Technology to keep students’ records secure is varied and numerous, with strategies such as limited access to records, password-protected PDFs, and the up-and-coming cloud storage. Offices can take every kind of technological precaution--but staff in those offices are equally important to record security.

Here are a few tips to train staff to handle student records:

  • Require staff to complete an annual compliance statement regarding access policy.
  • Provide guidelines for computer password strength.
  • Assign a staff member to monitor state and federal guidelines to keep the office current in their treatment of student records.

These are just some of the ways your office can ensure the safety of student records in the hands of registrar office staff members. For more comprehensive advice, check out AACRAO’s Student Records Management: Retention, Disposal, and Archive of Student Records.
